Remoria is built for something deeply personal: the memories of those you hold dear. Handling your data with care is therefore not an afterthought, but a foundation. In this policy you can read which data we process, why, for how long, and which rights you have. We've written it so you can understand it even without a legal background.

1. Who is responsible for your data?

The data controller is Wouters Yonik, trading under the names β€œRemoria” and β€œeconik”, established at Neptunusstraat 91 bus 1, 2600 Antwerp (Belgium), company number 0774.952.893. You can ask privacy questions via hello@remoria.eu.

2. Who does this policy apply to?

This policy applies to everyone whose data we process:

  • Administrators and buyers: anyone who creates or purchases a memorial;
  • Invitees: family and friends who are invited to contribute or read along;
  • Professional partners: funeral directors and their staff;
  • Website visitors: anyone who visits remoria.eu or uses the contact form or the newsletter.

3. Which data do we process?

  • Account data: name, email address, language preference, login credentials;
  • Memorial data: the name and details of the deceased, photos, videos, audio, stories, tributes and messages that users post (β€œContent”);
  • Payment and invoicing data: chosen plan, payment status and invoicing details. Your card or account details are processed by our payment provider and never reach our servers;
  • Photo book order data: delivery address and order contents when you order a printed photo book;
  • Partner data: business details, contact persons and billing information of partners;
  • Communication: messages sent via the contact form, email or the newsletter subscription;
  • Technical data: limited log and security data needed to keep the platform working safely and reliably.

4. What do we use your data for, and on what grounds?

We process data solely for the following purposes, each on a legal basis under the GDPR:

  • Providing the service (creating memorials, showing Content to invitees, processing photo books) β€” performance of the contract;
  • Invoicing and accounting β€” legal obligation;
  • Service emails (invitations, reminders when a plan is about to expire, important changes) β€” performance of the contract or legitimate interest;
  • The newsletter β€” your consent, which you can withdraw at any time via the unsubscribe link in every email;
  • Security and abuse prevention β€” legitimate interest;
  • Answering questions via the contact form β€” legitimate interest or pre-contractual steps.

We never use your data for advertising, we never sell it to third parties, and we do not train any AI models with it.

5. Data of deceased persons

The GDPR protects the data of living persons. Even so, we treat the data and images of the deceased with the same care and discretion as those of the living β€” out of respect for them and for those who love them. Next of kin can always contact us with questions or objections about their loved one's memorial, for example on the basis of the right to one's own image, which in Belgium rests with the next of kin for up to twenty years after death.

6. Photos featuring other people

Anyone who posts Content featuring other (living) people who are identifiable is themselves responsible for ensuring this is allowed β€” see also our terms and conditions. Are you identifiable on a memorial and would you rather not be? Let us know via hello@remoria.eu; we'll review it together with the administrator and remove images where that is justified. Memorials are, incidentally, entirely private: only invitees have access, and search engines cannot read along.

7. Who do we share data with?

We only share data with service providers we need to make Remoria work, such as our hosting provider, our payment provider, our email sender and the printing company that produces and ships photo books. With each of them we conclude a data processing agreement: they may only process your data on our instructions and for the purpose of providing the service. Beyond that, we only share data when the law requires us to.

If your memorial runs through a funeral director, they only receive what is needed for their services (such as the status of the memorial) β€” never the content of conversations between invitees.

8. Transfers outside the European Economic Area

Where possible, we choose processing within the EEA. Where a service provider processes data outside the EEA, this only happens with appropriate safeguards such as the European Standard Contractual Clauses or an adequacy decision by the European Commission.

9. How long do we keep your data?

  • Memorial content: for as long as the plan is active. After that, the memorial is archived and the Content is kept for a transitional period, so the administrator can download everything or resume the plan. After that, the Content is permanently deleted. Content never disappears without notice;
  • Account data: for as long as your account exists, and afterwards for as long as needed to wind things down;
  • Invoicing data: seven years, as required by accounting law;
  • Newsletter data: until you unsubscribe;
  • Contact messages: for as long as needed to handle your question.

10. How do we secure your data?

Memorials are private environments: access is granted through personal invitations or access codes, and connections are encrypted. We limit access to data to what is strictly necessary, and our service providers meet common security standards. No system is perfect, but we treat your memories the way we would want someone to treat ours.

11. Your rights

You have the right to access, rectification, erasure, restriction of processing, portability of your data and to object to certain processing. Consent (such as for the newsletter) can always be withdrawn. Email us at hello@remoria.eu; we respond within the legal period of one month.

If you are not satisfied with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be). We would appreciate it if you tried to resolve it with us first.

12. Cookies

Remoria only uses cookies and similar techniques that are necessary to make the website and the platform work, such as login sessions and language preferences. No consent is required for these essential cookies. Should we wish to use analytical or other non-essential cookies in the future, we will first ask for your consent and update this policy.

13. Remoria as a processor for partners

When a funeral director creates a memorial for their clients, the director may, for certain data, act as data controller and Remoria as processor. In that case, we process that data according to the partner's instructions and the arrangements set out in the data processing agreement. To exercise your rights, you can always turn to us and to the partner concerned.

14. Changes

We may amend this policy, for example when new features are added or legislation changes. The date at the top tells you when the last change took place. In the event of material changes, we will inform you actively.
